The City of Merriam invites qualified HVAC contractors to submit proposals for HVAC improvement work across various municipal facilities. The aim of this project is to enhance energy efficiency, improve system functionality and ensure reliable HVAC systems throughout the city. The scope of work includes improvements at the following locations:
- Merriam City Hall
- Merriam Public Works
- Merriam Historic Plaza
- Merriam Police Department (Alternate #1)
- Merriam Community Center (Alternate #2)
PROJECT SCOPE
Merriam City Hall HVAC Improvements
Replace the existing HVAC equipment throughout the facility with new and improve the temperature control system. This includes new Rooftop Units, VAV terminal units and a new building automation system. Refer to attached construction drawings for additional requirements.
Merriam Public Works HVAC Improvements
Replace the existing HVAC equipment throughout the facility with new and provide a new temperature control system. This includes a new shop ventilation and heating system, new radiant heaters and a new building automation system. Refer to attached construction drawings for additional requirements.
Merriam Historic Plaza HVAC Improvements
Replace the existing DX split systems serving this facility and provide a new temperature control system. Refer to attached construction drawings for additional requirements.
Merriam Police Department Controls Improvements (Alternate #1)
Replace the existing temperature control system to match the system proposed in the projects listed above.
Merriam Community Center Controls Improvements (Alternate #2)
Replace the existing temperature control system to match the system proposed in the projects listed above.
Note: The temperature control system (vendor) proposed shall be the same for each facility. Each facility shall be integrated into a single user interface that is accessible by the city.

NOTE: Historic drawings from previous construction projects for each of these facilities are included in this link for informational purposes. These drawings are not all inclusive of the work that has been completed and the city can not guarantee the accuracy of these drawings. Contractors shall visit the site to determine true “as-built” conditions of the facility.
PROPOSAL REQUIREMENTS AND INFORMATION
Interested contractors are requested to submit proposals that include the following:
- Company profile and qualifications.
- Detailed breakdown of proposed work for each facility.
- Cost estimate for each facility.
- Proposed timeline for completion.
- References from previous HVAC improvement projects.
SCHEDULE
Key Dates regarding this solicitation are as follows:
03/27/2024: “Invitation to Bid” sent to select AHU Manufacturers
04/10/2024: Final date for contractors to ask questions about project
04/18/2024: PROPOSALS/BIDS DUE AT 3:00PM
06/01/2024: Anticipated Start of Work
A mandatory pre-bid meeting and walk through is scheduled for April 4 at 1 p.m. beginning at Merriam City Hall, 9001 W. 62nd St.
